Sign in to a Team Room

Last year, we asked Communico Support to customize the room booker app we use for the Team Rooms.

  • a button that would allow the patron to confirm they showed up for their reservation
  • An auto-cancellation feature for bookings to be canceled without mediation from anyone – when the customer does not check-in.

How a patron confirms they showed up

It’s three easy steps to check-in and confirm a reservation!

1. Click My Reservations button in the lower right corner of the screen

2. Scan or key-in the library barcode and pin.

3. Click the Sign in button!

Is it possible to change the confirmation email language to include “Please check-in on the tablet outside of your scheduled Team Room when you arrive” or something like that? There isn’t anything in sign-up or confirmation content that tells people to check in, so newer folks aren’t doing that to start their session and then Communico cancels it after 15 minutes. Thanks!

thanks for the idea! Unfortunately, the confirmation emails are not specific to the room type. if we changed the message, it would also go out customers with boardroom and auditorium reservations.

I understand. Is adding a specific line, “If your reservation is for a Team Room, please check in…” an option? That way the information is there for those to whom it applies?

The Team Room Rules section where you have to go to make a Team Room reservation doesn’t say you have to check in at arrival. Here’s the sentence now: ” If you do not arrive within 15 minutes of the start time of your reservation, your reservation could be cancelled.” Considering Michelle’s concerns that some people are not checking in, maybe change that sentence to what Michelle says above or something similar such as “You must CHECK IN on the iPad at your scheduled Team Room upon arrival or your reservation will be cancelled after 15 minutes.” Of course, in order to know this people will have to read the rules and we know how that goes…

Excellent point, Kim. Plus so many people are not using the internet to sign up – they are using the iPads. The instructions above the iPads don’t mention anything about checking in either – it’s the same language from the website about arriving within 15 minutes.
