The 4 Elements: Gallery Desk Duties

Our current exhibit in the main gallery (the large one in the back) is The 4 Elements.
The exhibit features four women artists from Lawrence and each artist’s work represents one of the four elements and uses a different medium.

Opening tasks

  • Turn on the lights
    • Go into the Gallery workroom and flip all the breakers to “on”
  • Turn on the video/tv in the Jewel Box
    • You will find the remote in the top drawer of the filing cabinet next to the desk
    • Hit the red Power button. Wait.
    • Hit the blue SMART button. Wait.
    • Scroll to the right (arrow next to the OK button) till you find “Melissa” video. (first in the list that shows up)Wait.
    • Hit OK. Wait. The video should start after a few seconds.
  •  Check for trash from the previous night
  •  Check that the front doors are locked

During your shift

  • Please greet each visitor
    • Feel free to accompany them through the exhibit to promote discussion and engage in questions
      • If you would like, one of the Gallery staff would be happy to walk you through the exhibit before your shift if you have not had a chance to attend the all staff tours
  • Walk through the gallery during the start of your shift, notice if the labels need to be reattached or cases need to be cleaned and are there supplies in “The Studio” (the orange room behind the front desk)
    • To dust the cases
      • You will find the duster in the bottom drawer of the filing cabinet next to the desk
      • Lightly dust the tops of the cases
        • Now that construction has started on this side of the building this might need to be done more often
    • To clean finger smudges off the cases
      • You will find the plexi-glass cleaner next to the sink in the workroom
      • You will find a stack of white towels on top of the paper towel dispenser
      • Using the cleaner and the towels you can spot clean the cases (spray the cleaner onto the towel not the case please!)
    • To reattach labels
      • Email dg-gallery and one of us will come up and reattach them –please  leave them on the workroom table
        • If you know where we keep the tape and level you are welcome to reattach them yourself
  • Check the supplies on the worktable in the The Studio
    • More paper and supplies can be found on the brown 2 level cart in the old gallery staff office
  • Please remember that the gallery desk needs to be staffed at all times
    • If you need a quick break and you do not have a volunteer with you, you can call on other Public Services staffer to help you out
    • If you need a longer break, you will need to work with the schedulers

 Closing Tasks

  • Turn off the video
    • Use the remote is in the filing cabinet next to the desk, top drawer.
      • You need to be near the video screen for the signal to reach.
    • Push the red power button.
  • Check for trash in the gallery
  •  Clean up the work table in The Studio
  •  Turn off the lights
    • Turn all breakers to OFF
  • Make the doors are locked behind you at the end of the night
