Event Submission Deadlines

For programs/events to be considered for promotion (not all events get Communications and Marketing support) staff must enter and submit events for review in Communico by the deadlines below.

  • August 31, 2021 – Enter November & December 2021 events
  • November 26, 2021 (extended from Oct 31) – Enter January & February 2022 events
  • December 30, 2021 – Enter March – May 15, 2022 events*
  • March 6, 2022 – Enter May 16 – August 15, 2022 events*
  • June 30, 2022 – Enter August 16 – October 2022 events*
  • August 31, 2022 – Enter November & December 2022 events

Communications needs this lead time to plan for promotion and support of select events, and to fit event work into our schedules. This also gives community members time to plan for events they want to attend.

Events approved by Program Team may be entered in Communico outside these deadlines, but they will not be considered for promotion by Communications.

NOTE: You may want to enter in-person events (at least as drafts) in Communico well ahead of these deadlines to reserve your room.

*The 12 weeks of Summer Reading requires additional lead time because we start promoting summer in late March. We added two weeks to the deadlines before and after summer to avoid requesting 4 months of programs at once.

Promoting Events

The Program Team determines the level of marketing that will be done for your program. If your program is given Level 3 marketing approval, the communications and marketing team will contact you to schedule a creative brief meeting at least 6 weeks before your event.

Level 1 marketing (all programs) = listed in online events schedule and listed on in-building electronic schedule day of event

Level 2 marketing = all of Level 1 plus social media post(s) and/or electronic slide in lobby, kids library, cafe and/or bookmobiles; select Level 2 events will also get a Facebook event

Level 3 marketing = all of Level 2 plus Facebook event; listing in 10 event news release sent to local media; electronic slide in lobby, kids library, cafe and/or bookmobiles; additional promotion as determined by communications and marketing

Library News Update

Library News Update is a bi-weekly email newsletter. It is emailed to all adult cardholders. Its primary focus is to feature the library’s web content and promote select events. The enews is sent out every other week on Tuesdays (excluding holiday weeks). View the current enews schedule.

Three versions of enews are currently created based on cardholders’ Savannah cluster (their library card use).

  1. All adult cardholders except Bedtime Stories & Bright Futures
  2. Bright Futures = cardholders 13-18 years old
  3. Bedtime Stories = adults who primarily check out kids materials

Library News

Library News was a quarterly publication mailed to every household in Shawnee County, to cardholders and non-cardholders alike. This publication is not currently being produced. Only the electronic newsletter (Library New Update) is currently being produced.
