Moving to Phase 4 of the Library Opening Plan- Monday April 5, 2021

We will be moving to our Phase 4 plan for the library beginning Monday April 5th.

More details will be shared before Monday but I wanted to give you the high level view of the next phase.

The changes or additions include:

  • Menninger and Anton Room are open for community meetings for up to 6 people.
  • Hughes and Perkins will remain spaces that staff can use for lunch or break.
  • Team Rooms 1-4 and 6-8 will be available and customers can check them out on a first come, first served basis at the Customer Service desk.
  • Grab n Go service is being redesigned in order to streamline the process and reduce the number of steps it takes to implement the service.
  • Notary Services appointments will be conducted at the table in the Large Print area where they were in the Fall and still must be booked ahead of time.
  • Copy Center will return to self-service and will no longer be free.  Copies will be $.10/ page.
  • Staff will begin to work in Media, Teamwork Center and Kids Library again in order to add more visibility as well as resolve directional and basic collection help. Each area will have a service point with plexiglass.
  • The Learning Center will be closed and the computers in the Media room will be turned back on and incorporated into the Computer Sign Up rotation.
  • All the other areas or services are the same as the previous phase.

We will still require customers and staff wear masks and we are still encouraging social distancing and hand washing.

We continue to plan each phase with the goals of being essential and needed services. maintaining safety protocols and ideally maintaining low stress.  

I want to thank the Reopening Team for all the hard work on the details for each of the phases.  They have been looking at each element and figuring out what will work best for our customers and also our staff.

      Yes the proctoring team will be able to proctor tests again. They will book a Team room to be able to host a student needing a proctor.

    2 questions:
    1. Are we still doing the 25 page of free computer prints?
    2. “…and we are still encouraging social distancing…” Will we now allow people to work together on one computer? Or do they need to secure a “team room” for this kind of work?

      Zan,
      1. Yes we are still offering 25 free computer prints. Anything in addition to that are 10 cents/page and they can use money that is on their library account.
      2. Yes we are encouraging social distancing when using a computer in Marvin, the Edge or Media. It is one person per computer. People needing to work together can use one of the 7 Team rooms if they are available.

    when we did team room sign-up at the desk before COVID, we had an issue with it. People would walk into the rooms on their own so we would have people in team room 1 and then the people assigned would have to re-assign them to team room 2. eventually, we had to have someone with a computer assign team rooms in the back room. can’t we just start off with that already?

      Natalie,
      The doors to the team rooms will be locked. Staff working that area will unlock the door when someone comes back to the space with a reservation on the room. More details will be forthcoming.

        Autumn is exactly right, that is what we were originally planning to do, but since staff will be in the area to monitor the team rooms it has been decided that we will not lock the team rooms. If we find that we are continuing to have issues with customers trying to use the rooms unassigned we can always begin locking the rooms.

    I was going to bring up the same suggestion as Natalie A. People wouldn’t sign in when they got to the Team Room so we assigned someone else there. It was a mess and it took several trips from the Team room space to the CSD to get it straightened out. The person in the Team Room space will have eyes on things back there, and lessen the possibility of double booking, etc. I don’t remember if they were able to print guest passes in that space. It would make to easier if they could do that also. Thanks!

    Natalie and Kathryn – good questions. We discussed that and since things are different right now (gatekeeping to get past the plaza). Staff based in the Team Rooms area will have a laptop with SAM so we can confirm who is assigned where if needed. My understanding is that all patrons going past the plaza will have to stop for a sticker – browsing stickers are picked up at the orange desk, and all computer stickers (whether for media computers or Team Rooms) come from the computer sign-up area.

    Natalie – instead of Grad and Go passes there will be stickers with the time folks need to be done by. I don’t have all the details since I’m not super-involved with that part of the process, but my understanding is that it is similar to the color-coded system that the trampoline park uses at the mall (for those that know that system). Basically, certain colors “expire” through the day.

      Yes, that’s the part that Marie was mentioning that would have more information forthcoming — we are doing a stickering system — Grab & Go browsers will get a colorful sticker (different color per hour) from the Grab & Go Station and those assigned to Team Rooms and Media computers will get a white sticker from the Customer Service Desk.

      For Team Rooms, customers will be assigned a team room and logged in, so we won’t have the issue we had before where people timed out. Staff in the back will be able to verify the person in the Team Room is approved to be there because they’ll have the sticker. Very different than before, and much more streamlined,

    Who will be helping out in the copy center/fax room?
    Will Scanner be put back their as well?

      Scanner will be moved to Media where the Census computer currently is (the computer nearish the Service Hall).

      ILL staff are going to be scheduled to work up in the Plaza space to accommodate Notary and assist people in the Copy Center. Rather than doing a lot of teaching/task partnering at this time, if someone needs assistance and doesn’t know how to use the equipment they’ll do the copying/faxing for the person. Kind of a hybrid between what YS is doing and what we’ve done in the past.

    Also the chair that was originally at customer service desk that was taken into copy center for ASD. Could we get that back at customer service and take this cloth one away that is at computer sign up?
